Job Summary:
The Sheridan VA Medical Center is seeking a Medical Support Assistant (MSA) to provide administrative and scheduling support within the Sheridan VA Health Care System. MSAs serve as the primary point of contact for Veterans, their families, and clinical staff, ensuring timely, accurate, and courteous service. This role involves managing patient scheduling, maintaining medical records, updating patient demographics, and supporting clinic operations in compliance with VA policies and performance standards.

Duties/Responsibilities:
· Schedule and coordinate patient appointments in accordance with VHA directives.
· Provide excellent customer service to Veterans, families, providers, and staff, both in-person and via telephone.
· Answer incoming calls, respond to voicemails, and follow appropriate telephone etiquette.
· Update and maintain patient demographics, insurance information, and emergency contacts in VA systems.
· Manage patient check-in/check-out processes using VetLink kiosks and related applications.
· Open and close clinics daily, monitor no-shows, and process faxes, mail, and electronic records in compliance with HIPAA standards.
· Utilize VA software systems (VISTA, CPRS, CTM, VetLink, HSRM, PPMS, etc.) and Microsoft Office applications for documentation and scheduling.
· Support clinical teams by tracking consults, managing recall reminders, and assisting with workflow hand-offs.
· Follow all VA scheduling guidelines and compliance standards, including those of The Joint Commission (TJC).
· Ensure confidentiality and IT security by safeguarding sensitive patient and system data.
The job duties are flexible and subject to change depending upon operational needs.
Required Skills/Abilities:
· Ability to work independently and adapt in a fast-paced clinical environment.
· Must be able to multi-task, be detail-oriented, be organized and have excellent verbal and communication skills.
· Strong interpersonal skills and ability to work on a team.
· Excellent communication and time management skills.
· Must be able to successfully complete the AMI Credentialing Process.
· Proficiency in Microsoft Office Suite applications
Education & Experience:
· High School Diploma or GED equivalent.
· Proficiency in English (oral and written).
· Basic computer skills; ability to type at least 50 WPM.
· Knowledge of basic medical terminology.
· Minimum of 6 months of customer service experience.
